About This Position
This position will serve as the GGSC’s Operations and Events Coordinator, which will support the GGSC’s financial and accounting processes, as well as the organization and coordination of various in-person and virtual events, working under the supervision of the GGSC’s Director of Operations. This will include supporting the GGSC’s accounts receivable, accounts payable, and budgeting processes, and will involve managing event and special project logistics such as coordinating with venues, caterers, vendors and technical support, and providing registration and external communication support.This is a full-time (100% time) staff position, providing UC Berkeley’s robust benefits package. Proximity to the GGSC’s office at UC Berkeley with 2-3 days in office is strongly preferred, although hybrid-remote working arrangements are possible.
Responsibilities
Financial Administration
- Accounts payable: Independently creates purchase orders and honoraria for outside vendors and contractors and processes invoices and reimbursements through the UC Berkeley BearBuy (accounting) and Reimburse systems for a range of GGSC programs.
- Manages general purchases for the organization, processes payments by department credit card, and reconciles according to UC Berkeley requirements.
- Accounts receivable: Invoices partners and clients for payments due to the GGSC, working within UC standard procedures. Tracks payments due and received from earned income activities; shares this financial data with the Director of Operations and Executive Director. Follows up with clients on late or missing payments.
- In partnership with the Director of Operations, develops, analyzes, and maintains operations and event budgets. Prepares operations and event budgets for grant proposals and reports as necessary.
- Assists with the GGSC organizational budgeting process, including to reconcile actual expenses with the university’s financial reports and the GGSC’s budgeted amounts.
Event & Special Project Coordination
- Provides event coordination support for various events and meetings—in-person and virtual—including large public events, donor events, the GGSC Advisory Board meetings and staff retreats, and smaller multi-day programs, working in tandem with the Executive Director, Director of Operations, and other GGSC staff members.
- Independently identifies and contracts with event venues and other vendors (e.g. caterers, A/V technicians, photographers/videographers, book sellers, furniture and equipment rental); coordinates with event speakers (e.g., for travel arrangements and speaking honoraria). Processes all event-related payments after events.
- Manages registration application process for event attendees, including application or RSVP process for limited-capacity events and for limited-capacity public events and coordinates scholarships program for events when applicable.
- With input from the project lead and the Marketing Director, manages pre- and post-event communication to participants, including registration details and reminders, general inquiries, scholarship applications and distribution, and post-event evaluation.
- Prepares applications for continuing education accreditation for events, working with external continuing education partner.
- Coordinates on-site event preparations and volunteer support, including any event accessibility needs working with the Director of Operations.
- Handles escalated customer service problems and vendor concerns around events referring matters to the Director of Operations when necessary.
- Adds and updates events on the GGSC webpage, working with the Marketing Director.
- Secures supplies and equipment for events when necessary, with attention paid to economical and environmentally-friendly options, and maintains inventory of them.
- Solicits and synthesizes internal feedback after events to continue to improve the planning and execution of future events.
- Secure required campus event approvals when necessary (e.g., alcohol permit)
- Serve as primary contact for general event questions from attendees, vendors, and partners
External & Internal Communications
- Fields incoming requests and inquiries for various partnerships, including affiliate relationships, permissions for content reprints/syndication, newsletter ads, or reciprocal marketing;. aAssists with permission agreement process and invoicing;. dDirects appropriate requests to the GGSC Marketing Director, Managing Editor, or other relevant staff.
- Speaking requests: Reviews incoming speaking requests for GGSC staff to deliver talks and workshops emails; manages invoicing and tracks payments for speaking engagements.
- General inquiries: Oversees the GGSC’s general email address and voicemail—and supervises student assistants who help monitor and respond to those as well
- Helps to schedule GGSC all-staff meetings.
- Participates in regular GGSC staff meetings and annual GGSC staff retreat
- Enters and updates contacts in the GGSC’s Customer Relationship Management (CRM) system, including vendors and various event contacts
Required Qualifications
- Knowledge of a variety of financial and administrative operations, such as accounts payable, accounts receivable, and budget and expense reconciliation
- Strong project management, problem solving, and customer service skills
- Experience and comfort working with Excel/Google spreadsheets
- Experience and comfort creating forms and other documents (e.g., using Google Forms)
- Experience planning, organizing, and managing events of various sizes, from private meetings to large public events, both in-person and virtual
- Strong communication and interpersonal skills to communicate effectively with vendors, partners, GGSC program/event participants, others members of the public, and GGSC colleagues, both verbally and in writing
- Experience and comfort working with Google Suite and Zoom
- Ability to occasionally staff GGSC events on evenings or weekends (2-3x/year)
- Solid organizational skills and ability to multi-task with demanding timeframes
- Skill in effectively meeting budget and time constraints
Preferred Qualifications
- Comfort with a content management system (e.g., Expression Engine, WordPress) and newsletter software (e.g., Mailchimp)
- Thorough knowledge of UC Berkeley processes, protocols, policies and regulations for procurement, reimbursements, and accounting strongly preferred.
- Knowledge of and experience with UC Berkeley-specific accounting systems (e.g., BearBuy, BFS, BCMS, ConnexUC).
- Familiarity with—and affinity for—the Greater Good Science Center’s mission and programs.
- Experience with volunteer recruitment, supervision, and evaluation.
Salary & Benefits
This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience, within the range of $33.93 – $37.95 hourly ($70,574 to $78,936 annually).
